Barkway handles important day-to-day information for grooming businesses: bookings, clients, pets, invoices, reminders and files. This page explains, in plain English, how that data is handled.

Barkway is currently in early access and will open public sign-ups later this year.

Your business data stays yours

Your grooming business owns the data you add to Barkway. Barkway uses that data to run the service for you, not to take ownership of your client relationships.

That includes client records, pet profiles, bookings, invoices, notes, reminders, documents and account details. Barkway does not treat groomer customer data as Barkway's own customer list.

GDPR responsibilities

Barkway Ltd is a UK company and is registered with the Information Commissioner's Office.

For grooming-business data, Barkway acts as a data processor. In plain English, that means Barkway handles the data needed to provide the service, while the grooming business remains responsible for its own client relationships and the data it chooses to store.

For Barkway's own account, billing, marketing, support and operational records, Barkway may act as a data controller where applicable. A Data Processing Agreement is available on request.

Hosting, storage and backups

Barkway production systems are hosted in the EU. Images and file assets are handled using Cloudflare R2.

Automated backups are stored off-site and encrypted in Backblaze B2. Full server backups are taken nightly via Hetzner and kept on-site with the hosting provider.

We do not publish a formal SLA during early access, but we monitor the service and maintain a status page.

Payments and card details

Client card payments are planned through Stripe. Barkway will not store full card details. Until card payments are available, payment-related features will be clearly labelled inside Barkway.

Email and SMS reminders

Barkway uses trusted third-party providers to send email and SMS reminders.

Groomers are responsible for making sure client contact details and reminder preferences are accurate.

Access controls and security basics

During early access, Barkway uses practical security controls designed for a small SaaS product handling grooming business data.

  • Hashed passwords
  • Staff roles and permissions
  • Tenant data separation
  • Restricted admin access
  • Monitoring and error alerts
  • Detailed audit logging
  • 2FA is planned but not currently available

Account closure and deletion

Customers can close or delete their account themselves. Trial account data is retained for 3 months before automated deletion. Paid account data is retained for 18 months before automated deletion.

Customers are emailed before automated deletion. The retention period gives customers a chance to recover or reactivate their account.

Some data may remain in backups for a limited period after account closure as part of normal backup handling.

Data exports

Self-serve exports are not available yet. Barkway plans to add export tools later, likely CSV and/or JSON, but no timeline is promised.
