Record a payment

Record payments from the booking so the invoice, remaining balance and payment history stay together.

Record the payment

  1. Open the booking — from Bookings or the calendar, open the appointment.
  2. Choose Record Payment — find the Financials panel and open Record Payment.
  3. Enter the payment details
    • Amount — the full amount or a partial payment.
    • Method — Cash, Bank Transfer, Card or Other. Client Balance is selected automatically when you use balance.
    • Received at — the payment date and time. It defaults to now.
    • Reference — optional, for anything useful to keep with the payment.

  4. Mark it as a deposit if needed — enable This is a deposit payment when the money is being held against the appointment as a deposit.
  5. Save — Barkway records the payment and recalculates the invoice status.

Use client balance

If the client has credit available:

  • Enable Use client balance.
  • Barkway sets the payment method to Client Balance.
  • The amount is capped so you cannot apply more than the available balance or the amount due.

What changes after you save

  • The payment appears in Payment History.
  • Remaining Balance updates immediately.
  • The invoice status moves automatically between Unpaid, Partial and Paid.

Useful details

  • Use Reference for notes such as Paid via bank transfer.
  • Change Received at when you need to record an earlier payment.
  • If a client overpays, the extra amount moves to their client balance automatically.
